AI Summary
Summarize and surface key information from a submitted intake form with the AI Summary tool.
The AI Summary tool is an AI-powered feature supporting your work in the application process. It summarizes a submitted intake form, helping you to quickly understand key information. Several prompts are also available, such as identifying possible areas of concern. The tool is available on all types of intake forms.
Contact your Implementation Manager or Client Success Manager to enable the AI Summary tool in your site.

When you use the AI Summary, your data stays within your foundation's protected data environment. Your data does not mesh with other foundations’ data and does not enter the data environments of any other technology company or service. Your chat with the AI Summary is private to you alone.
- Navigate to an intake form entry that is in the Submitted status or a later status (e.g. Imported), either from the grantee portal intake forms dashboard or from the request record.
- Click View [Intake Form Type] to view the submitted intake form.
- Click View [Intake Form Type] to view the submitted intake form.
- Click Start Summarizing.
- A summary of the form appears in the AI Application Summary modal.
- Click a prompt in the modal to generate additional information if desired.
- Click Save to Staff Notes to save the generated content in the Staff Notes field on the intake form entry.
- Click a prompt in the modal to generate additional information if desired.
If you ask the AI Summary to save the generated content in the Staff Notes field, it includes a footer indicating that it was generated using GivingData’s AI Assistant, as shown below.
- While other users are not able to view your chat with the AI Summary, any generated content saved to the Staff Notes field is visible to other users.
Data in the Staff Notes field is accessible and can be used in several ways:
- Visible when viewing an intake form entry.
- Can be used as criteria in an intake form super search.
- The Staff Notes field can be added as a column in an intake form super search, and the Current Application Staff Notes field can be added as a column in a request super search.
- Can be added to a super doc template as a dynamic field.
Once you have opened the AI Summary modal on an intake form entry, it will remain open and retain the chat history until you click the X icon or clear your browser cookies.
