Assign Codes to Records
Assign one or more codes to organization, request, payment, or contact records.
Once a code type and its codes have been added in your site, the codes can be assigned to records.
Codes can be assigned on the following record types:
- Organizations
- Requests
- Payments
- Contacts
Codes can also be assigned, removed, and replaced in batch. Batch Edit from a Super Search contains details.
A user must have the Manage Codes permission enabled for a record type in order to assign or edit codes for those records.
Assign Codes to a Record
- Navigate to the record.
- Click the Tags & Coding tab (for an organization or request record), or the Coding tab (for a payment or contact record).
- Click Add New Code, and then click the code type.
- Check the box for each code to assign to the record, and then click Select.
- If more than one code is selected, select the primary code, and then click Save.
Edit Assigned Codes
- Navigate to the record.
- Click the Tags & Coding tab (for an organization or request record), the Coding tab (for a payment or contact record).
- Click the pencil icon next to a code type.
- Edit the code assignments, and then click Save.
- To remove a code, click the X icon.
- To assign additional codes, click Select Codes.
- Check the box for each additional code to assign, and then click Select.
- Check the box for each additional code to assign, and then click Select.
Codes assigned to a request are automatically inherited by each payment record for the request, if the code is assignable to payment records. Code assignments can be adjusted as necessary on each payment record.
Default Coding
Default coding can be configured for request and organization records. The default code for a code type is automatically assigned when adding a new request or organization record. For requests, this can be configured based on the request transaction type.
The assigned codes can be edited as needed on individual request or organization records, but default coding can increase efficiency when adding records. For example, if a certain request transaction type always needs a particular code assigned and the code influences the application form, configuring default coding is recommended.
