Gmail Add-on Installation and User Guide

Install the GivingData Interactions add-on and create an interaction record directly from an email in your Gmail inbox.

The GivingData Interactions add-on for Gmail allows you to create GivingData interaction records directly from your Gmail email.

A user needs the Manage Interactions permission to use the Gmail add-on.

Install the Gmail Add-On

  1. Navigate to the GivingData Interactions add-on in Google Workspace Marketplace.
  2. Click Install and follow the prompts.Install button

  3. Navigate to your Gmail inbox and refresh the page.
  4. Click the GivingData logo in the add-on menu.

  5. Click the three dots icon, and then click Settings.Settings option

  6. Enter the URL for your GivingData site.
    1. To obtain this, log into your GivingData site, copy the URL from the address bar, ending with “.com” (do not include “/#/”).URL field

  7. Enter the API Key from your Profile page in your GivingData site. Follow the steps below to obtain this:
    1. In your GivingData site, click your name in the upper navigation bar, and then click Profile.Profile option

    2. Click Integrations.Integrations tab

    3. If the API key has not yet been created, click Create API Key. Once created, click Copy to Clipboard.Copy to Clipboard button

    4. Paste the key in the API Key field in Gmail.API Key field

  8. Click Save.

Create an Interaction from an Email

Follow the steps below to create a GivingData interaction from an email in your Gmail inbox.

The email sender must already be added as a contact in your GivingData site in order to create an interaction from the email.

  1. Navigate to the email in your Gmail inbox.
  2. Click the GivingData logo in the add-on menu.GivingData logo

  3. Any organizations and requests with which this contact is related in your GivingData site populate. Select the organizations and/or requests to connect to the interaction being created with the email.

  4. Click Create Interaction.

  5. Click View in GivingData to navigate directly to the new interaction in your GivingData site.

A Gmail icon in the interaction indicates that the email was sent from Gmail.Gmail icon

Any documents attached to the email are available within interaction. Click the dropdown for the document to either download the attachment or create an interaction document from the attachment. It is recommended to take one of these actions.Document dropdown

Manage Email Replies in Gmail

If you or the original email sender reply in the Gmail email thread, the additional emails are not automatically added to the GivingData interaction. Follow the steps below to add them. 

  1. Navigate to the email in your Gmail inbox.
  2. Click the GivingData logo in the add-on menu.GivingData logo


  3. Click Update Interaction.

The additional emails then appear in the interaction with a Gmail icon.Gmail icon

Replies can also be sent from the interaction in GivingData, but this will start a new email thread with the recipient. Send an Email from a Record contains instructions on replying from an interaction.
