Outlook Add-In User Guide

The GivingData Add-In for Microsoft Outlook gives users the ability to quickly create GivingData Interaction records directly from their Outlook email. This feature is available for GivingData clients with a Pro or Enterprise product plan.

Creating an Interaction from an Outlook Email


To create a GivingData interaction from an inbound Outlook email, select the ‘More Actions’ button.


From the dropdown menu, select GivingData to open the add-in.


If the email sender has a contact record within GivingData, the add-in will recognize the email address and automatically link the contact to the interaction.

If the contact is linked to an organization record, the add-in will link the organization to the interaction. A dropdown menu will be available to choose from if the contact is linked to multiple organizations.

If the contact is linked to a request record, the add-in will link the request to the interaction. A dropdown menu will be available to choose from if the contact is linked to multiple request records.

Add Interaction Notes, if desired.


When finished, click ‘Create Interaction’. The following notification will appear.
 

The GivingData user (Grant Manager) will receive a notification in GivingData that the Interaction was created. The user can click on the link in the notification to view the interaction and add more details.



Within the Interaction record, the GivingData user can add followers, view/add document attachments, link additional request and organization records, and more.


Recording Email Replies in a Single Interaction

By using the GivingData Outlook Add-In, users can update existing interaction records to include email replies. Once a reply email is sent, select More Actions.


From the dropdown menu, select GivingData to open the add-in.


The existing GivingData Interaction Notes will appear. Edit the existing Interaction Notes or add additional notes to the Interaction record.


When finished, click ‘Update Interaction’. The original interaction will now include the email reply. The following notification will appear.


The GivingData user (Grant Manager) will receive a notification in GivingData that the Interaction was updated. The user can click on the link in the notification to view the interaction and add more details.


Both the original email and the email reply will appear in the GivingData interaction record. 



Click on the email reply to view the full message.

The interaction notes added from the interaction update will also carry over to the GivingData interaction record.
