This guide will walk a DocuSign administrator through the second of three phases of setting up GivingData’s integration with DocuSign E-Signature.
The DocuSign integration is available to Pro and Enterprise-level clients.
This guide covers the second phase which is involves testing, passing DocuSign’s Go Live Review, and promoting the app to DocuSign production.
Before Beginning
This guide assumes that Phase I of the set-up has already been completed.
Testing, Passing DocuSign’s Go Live Review, and Promoting the App to DocuSign Production
DocuSign requires all new integrations to be tested according to their rules and pass their Go Live Review process.
Testing Requirements
To pass DocuSign’s Go Live Review, a minimum of 20 demo test documents must be sent for signature from within GivingData, signed, and returned. This testing process should take approximately one hour to complete with one or two users. At least one user must have access to DocuSign sandbox and DocuSign production credentials. This is the sending user. The signing user receives and signs the test documents.
Testing Process
The recommended process for completing testing is:
- Locate or create a test Organization record in GivingData.
- Add a Request record and label it “DocuSign Testing.”
- Go to the Documents tab of this Request record and set up a minimum of 20 test documents. These can be blank Word documents. Label each document “Test 1”, “Test 2”, etc. as shown below:
- The sending user should locate the yellow triangle to the left of Document 1, and choose “Send to DocuSign for E-Signature."
- In the DocuSign modal that pops up, log into the DocuSign developer sandbox account.
- A GivingData modal should appear. Each test document must be sent for signature to either one staff member or one contact. This is the signing user who will be signing and sending back documents during the testing process. Add an email subject, then click “Next.”
- The next screen allows the user to choose the order of the signers. Because this test document only has one signer, leave the modal as it appears and click “Send.”
Note: Once the document has been sent for E-Signature, this E-Signature icon will appear next to the document title. Clicking this icon allows the user to check the document’s history and view the signed document. Please do not click on this icon during the testing process. It will cause DocuSign’s review to fail. If the review fails, the testing process will need to be repeated in its entirety. During the testing process, please check the document’s progress only from within DocuSign, not GivingData. - Repeat this process with all 20 test documents.
- The signing user should receive all test documents in their email and sign them.
- The testing phase is complete once all 20 documents have been sent and signed.
Go Live Review
Once the testing has been completed, log in to the DocuSign developer sandbox account:
- Go to the Settings page. Navigate to Apps and Keys > Integration.
- Find your GivingData App on which you have completed testing.
- Click on "Actions" and select “Start Go Live Review.” This review should take less than 20 minutes.
- Once the Go Live Review has passed, go to "Actions" and click on “Select Go Live Account.”
-
- If the review does not pass, download a copy of the API call log and share it with your GivingData Project Lead. The GivingData team will help determine next steps.
-
Promoting the App to DocuSign Production
The steps below assume that a DocuSign production account with an API subscription has already been created. The subscription level must be “Advanced API”
Once you pass the Go-Live review, you are ready to launch your app in a production environment. To do this, you will need to promote your integration key from your developer account to a production DocuSign account.
Please confirm that your key's status has changed to Review Passed
Each integration key in the Developer environment must belong to a paid or a partner production DocuSign account. The following steps will show you how to select a production DocuSign account into which to promote the key.
Promoting your app
- Open the Apps and Keys page in your developer account.
- Next to the integration key you want to promote, select Actions > Select Go-Live Account.
- You should be prompted to choose a production account. Click NEXT.
In the login window that appears, log in to the production account using your production DocuSign account credentials (not your developer account credentials). - After logging in, you will be prompted to accept the developer terms and conditions.
- Next, you will be prompted to select a production account to use to promote the key.
Now when you log into the Production DocuSign account, the key's status will change to Pending Approval. Promotion may take DocuSign up to 3 business days. Typically, it takes less than one day. Check back here often.
Once your key has been promoted, you will receive an email notification and the key's status will change to Live, indicating the key is enabled in the production environment
Final configuration can be completed in your DocuSign production account following guidance outlined in DocuSign Set-Up Guide (Phase 3).
