Enable grant renewals on a request record. Create the renewal record or schedule a renewal notification for staff.
Grant renewals can be enabled on a request record. A renewal request can then be created, with data from certain fields on the original request automatically populating on the renewal request. A renewal notification can also be scheduled to send to staff members on a specified date. The renewal history can be viewed from the original request as well as each renewed request.
The fields that will populate data from the original request into a renewal request can be configured in Admin Tools & Settings. The default renewal notification date can also be configured. Requests contains details.
Create a Renewal Request Record
- Navigate to the request record for the grant that will be renewed.
- Click the Overview tab.
- Click the pencil icon next to Renewable.
- Select Yes, select Create Renewal Record Now, and then click Update.
- Complete the fields, and then click Next.
- Request Status - Select the status for the renewal request record.
- Meeting Date - Select the meeting date for the renewal request record. Requests contains details on this field.
- Review the data that will be copied from the original request into the renewal request, and then click Save.

The renewal request record is now created and can be updated with additional information. For example, grantee portal intake forms can be assigned.
Schedule a Renewal Notification
- Navigate to the request record for the grant that will be renewed.
- Click the Overview tab.
- Click the pencil icon next to Renewable.
- Select Yes, select Schedule Renewal Notification, edit the Renewal Notification Date if needed, and then click Update.
Notifications will be sent on the renewal notification date to the primary and secondary staff members for this request as a reminder to create the renewal request.
The renewal request can also be created at any time by clicking Create Renewal Record on the original request record.
In scenario planning on payments dashboards, a double arrow icon appears next to Add New Request. Click the icon to view grants with upcoming renewal notification dates.
- Click Create Renewal Record to create the renewal request.
- Grants appear in this list a certain number of days before their renewal notification date. The number of days is configured in Admin Tools & Settings. Requests contains details.
Manage Renewal Requests
Once a renewal request has been created, there is a link between the renewal and the original grant.
Options for viewing and managing renewals are available on the request record for the original grant.
- Click the link icon in the Renewed Request field to navigate directly to the renewal request record.
- Click View Renewal History to view a list including the original grant and all renewal requests.

- Click the link icon in the Renewal Of field to navigate directly to the request record for the original grant.
- Click View Renewal History to view a list including the original grant and all renewal requests.
- Click Clear to remove the link between this request record and the original grant.
A request record can also be manually linked as a renewal of another request.
- Click the pencil icon next to Renewal Of, search for and select the request record for the original grant, and then click Update.
