Assigning Workflow Tasks to Individuals or Roles

When building Workflows, administrative users can assign tasks to specific individuals or to specific roles.

Navigating to Workflow Settings 

Access Settings by clicking the gear icon in the site’s Quick Navigation Bar.  

Click “Workflows” under “Grantmaking.”

Within the Workflow section, any Workflow templates tasks already created will be listed. Depending on a user’s permissions, new workflows and tasks can be added using the green “Add New Workflow” and “Add New Task” buttons. For more information about building workflow templates, see this article.

Assigning Specific Staff or a Role to a Workflow Task 

Workflow tasks can be assigned to a specific staff member or to a role using the “Assigned” dropdown in the Edit Task modal.

For a task whose specific assignee will change depending on what a request, payment or requirement it is added to, select either the “Primary Staff” or “Secondary Staff” roles from the Assigned Dropdown. The workflow will draw this information directly from its associated request, payment, or requirement so that the correct staff member is assigned to the task. 

For a task assigned to a staff member without a mapped role, assign the task to the specific staff member.
