Public vs. Private Workflow Tasks

Users with permissions to manage workflows and tasks can set individual workflow tasks to be publicly visible or private.

Workflow Task Visibility

Changing the visibility of a task updates which users can comment and view comments on that task. 

On a public workflow task, all details of the task are visible to any user who can open the task. Anyone who can open the task can view the task’s activity, view any comments on the task, and comment on the task.

  

On a private task, only users who are assigned to or are followers on the task can view the task’s activity, view any comments on the task, or comment on the task.

Pictured below is how a private task appears to Emily Favata, a user who is not assigned to or following the task:

Pictured below is how the same task appears to user EmilyF Test, who is assigned to the task. The task appears the same to Kim Blanchard and Andy Bawcombe who are both followers on the task. 

Setting a Workflow Task’s Visibility

When adding a new task to a workflow template in Settings, the visibility of a task can be set to either public or private. 

The visibility of a workflow task can also be changed once a workflow is added to a record.

Workflow tasks with private visibility are indicated with a lock icon.
