🚀 Release Notes 5.2.12– Refreshed Super Search, E-Signature Integration Email Templates, BILL Integration, and AI Summary!

Coming September 20, 2025! This update brings a flexible Super Search list with inline editing for faster data management, email templates for professional document signature requests through Docusign and Adobe Sign, leveled up our BILL integration for seamless payment processing, and made it possible to delete or edit your own comments. What’s New?

✒️ E-Sign Email Templates

For our DocuSign and Adobe Sign integrations, an email template can now be selected to be used when sending a document out for signature. The email templates are edited in the Email Template settings. Email templates and the Send to E-Sign modal now also allow for adding recipients by typing in their email address– recipients no longer need to have a Contact record or be a GD user to receive or be CC’d on e-signature requests.

💡 Save time and clicks by having all of your email templates in one location in your GMS, including e-sign emails.

💰 BILL Integration: Select new fields and send documents with payments!

New fields can be added from the Payment record, Request record and Organization record to be mapped into the BILL Description field. Document Types (Payment, Request, and Organization Document Types) can be selected to be attached to the BILL invoice so the finance team can view these documents without a lengthy export process. These can be configured by admins in the new BILL Integration Settings.

💡 Seamlessly pass along relevant information to your finance team about a grant payment, including additional grant or payment details and an invoice or grant agreement document.

💰 BILL Integration: Management Console Authentication Method

Our BILL Integration now supports users who have a BILL Management Consoles set up. If your foundation uses a BILL Management Console, a filter will be available when linking BILL Vendors to ensure that you are linking to the correct client and vendor within your BILL console. The BILL client and vendor will be displayed when sending payments to BILL to keep you informed throughout the process.

🔎Improved Super Search

A more intuitive search results list allows users to drag to resize and pin columns, sort a single column, and view up to 250 records per page. Column headers remain visible when scrolling. Batch actions are easier to access, including the ability to select all records on a page, and certain fields now support in-line editing directly in the results view. Check out the link below to find a full list of fields that are editable within super search lists. Note: Sort column first, then adjust width and order of columns. If you make adjustments to column width and order, then sort a column, the adjustments you made will be reverted.

🗑️ Delete and Edit Comments

Users can now edit or delete any of their own comments, not only the most recent comment. The commenting features are now consistent everywhere they appear in GivingData and the Grantee Portal, including Task Details, Interaction Details, and portal forms.

🤖 AI Application Summary – Ask your CSM to enable it!

The AI Application Summary is an opt-in feature that can be enabled by request – reach out to your CSM. The AI Application summary tool is visible on submitted applications to help summarize applications to help quickly understand key information and offer support prompts to help identify areas that may need follow-up. When clients use the AI Assistant to summarize applications, their data stays within their foundation's protected data environment. The whole system remains SOC2 compliant, as our ongoing standard.

⌨️Portfolios Dashboard – New list view & Inline editing!

The Portfolios Dashboard list view has been upgraded for greater flexibility. Users can now drag to resize and pin columns, use Shift + click to sort by multiple columns, and view up to 250 records per page. Column headers remain visible when scrolling. The following data can be edited in-line from the Portfolios Dashboard: Name, Aspiration, Description.

✍️Intake Form Admin View – Updated UI and more seamless experience!

The Intake Form Admin View has an updated user interface to maintain consistency and improve accessibility. When editing intake forms, you’ll notice a variety of usability improvements to help you work more efficiently. Such changes include address settings, contact settings, and bank account settings saving after selections are made – no more clicking an update button to save!

 

✍️Intake Form Admin – Quickly move questions to a different page in the form!

Easily rearrange intake form fields on a page, or move them to a different page within the form. Duplicate a previously created field as a starting point to modify. Enjoy an updated look and feel with updated buttons and a sleeker, more intuitive experience while editing intake forms.

 

📄Export all Reports

All standard reports listed under the Reports tab can now be exported to excel and downloaded as a PDF. Share your data with stakeholders outside of GivingData or perform additional data manipulation on the lists.


🐛 Notable Bug Fixes

Each release includes bug fixes to enhance stability and improve your experience. Here are some key fixes:

  • Workflows: Users were unable to remove a task completion action from a workflow task. An X icon has been added to the task completed action drop down to clear the action select.
  • Workflows: Payments, Requirements and linked Intake Forms were not appearing on linked Tasks when viewed from My Tasks. This has been resolved.
  • Email Templates: When using email templates for in app emails, users were unable to delete one of the contact roles on the template if they were all assigned to the same contact. This has been resolved and now the contact will only appear once.
  • In app emails: When sending emails, Google linked documents were incorrectly shown as options to select as attachments for the email. This has been resolved, and Google linked documents are no longer displayed as options for email attachments.
  • Document Templates: Once a Document Template has been used to create a document, the Document Template can no longer be deleted unless all documents created from that template have been deleted. An error message has been updated to let users know why a document template cannot be deleted.
  • BILL Integration: Refreshing the payment status after a BILL has been paid was not occurring each day. This has been resolved.

Clients without a replica database in their subscription can disregard these technical details. This section is intended to notify administrators about changes to the database schema. If your subscription includes a replica database, these details may be relevant to the administrators managing your replica database or advanced data visualization tools like Power BI. MyTasks View

The updated view now:

  • Joins Tasks with Workflows.
  • Ensures PaymentId, RequirementId, and IntakeEntryId resolve from either Tasks or Workflows.
  • Provides a consistent list of task fields (including CompleteAction and CompleteActionDefault).
