In GivingData, Campaigns provide the infrastructure for the unsolicited applications including the web link to the campaign, login page and landing page. This feature is an add-on to Go subscriptions and included in Pro and Enterprise subscriptions.
Setting Up Unsolicited Applications
The first step in building a campaign is to set up an unsolicited application via the Grantee Portal. To navigate to the Grantee Portal, go to Settings.
Click Add New Intake Form and select Unsolicited Application.
Once selected, a new modal will pop-up walking you through the required steps, including setting up properties, configuring email settings, and building the application inside the Grantee Portal. Building a Campaign
To start building a new campaign for the new unsolicited application, navigate to Grantee Portal Campaigns in the Grantee Portal section of Settings. Click on the green “Add New Campaign” button.
Upon selecting the above, a pop-up modal will show all of the campaign properties.
Campaign Properties
As seen above, there are a number of fields related to Campaign Properties, which are described in detail below.
Campaign Name: This space allows users to create a custom Campaign Name that is displayed on the homepage of the Grantee Portal.
Unsolicited Application: Select the specific Unsolicited Application Intake Form associated with this campaign.
Campaign URL Identifier: This identifier will be the name of the url applicants will click to access the campaign. Users can use the name of the campaign, the Foundation, the Intake Form, or any other naming convention.
Campaign Entity Name: This is a heading name for the application on the campaign landing page.
Max Entries per User: The total number of applications a user can create for the campaign.
Open Date/Time: Similar to setting up other Intake Forms, the Open Date/Time property sets the time parameters in which Applicants can access the campaign and application.
Followers: Any existing users in GivingData can be added as followers enabling them to receive a notification when an application is submitted.
On the Campaign Properties page, there is also a space to select, “Hide imported entries from organization portal?” If one selects this, the imported intake entries for the associated Campaign cannot be viewed in the portal for the associated Organization. However, the portal user who created the intake entry can view it on the Campaign page.
Campaign Content
After completing the Campaign Properties page, GivingData User will have the ability to create the Campaign Content page. The login page content will be displayed to Portal Users who have not yet logged in when being directed to the URL. Portal Users who have previously logged in will not see this content or page. The Landing Page is the space where Portal Users who once logged in, will be taken to when visiting the unique URL. Additionally, with this form, you can add a logo and template email language to send to the newly registered Portal User.
Default Request Properties
The final component of setting up a campaign - which is optional - will be to set default properties that will be used when adding new Requests from this Campaign. The default properties are used during the import process in which a new request is created from the information in the application.
Grantee Portal View
To see the newly created campaign from the point of view of the Grantee copy the campaign url and paste it into a new Incognito or Private browser and log in with an email address that is different than the email address used to set up your GivingData user profile.
First navigate to the URL via the Settings >> Grantee Portal Campaigns via Settings. From there, select the appropriate URL of the associated campaign you wish to view.
Upon clicking the above link, the User will need to sign-in using existing Portal credentials or setting them up. Once properly registered and signed in, one will see the campaign and the area in which a new application can be started.
